The monthly ritual — 2026 version

First Sunday of the month. Coffee. You open your banking app, download the CSV or OFX from last month. You upload it to Freelance Budget. 10 minutes later, your treasury, invoices, VAT, charges and statistics are up-to-date.

Here's exactly what happened between those two moments.

Step 1 — Upload (30 seconds)

You drag the file into the app. The parser detects the format (CSV/OFX/QIF), recognizes the columns (date, label, amount, sign). If column mapping isn't obvious, the app proposes one you validate with 2 clicks.

50-120 transactions arrive, ready to be processed.

Step 2 — The engine does 80% of the work (2 minutes)

While you sip your second coffee, the reconciliation engine traverses 7 layers of matching:

  1. Learned rules from previous months → match recurring subscriptions immediately (cloud hosting, accountant, pro bank)
  2. Institutional patterns → tax authorities and major SaaS recognized
  3. Invoice reverse-match → Acme Consulting €5,400 arriving 47 days after invoice #2026-014 → match
  4. Salary detection → recurring personal wire → SalaryPayment
  5. Recurring expenses → fixed-date direct debits
  6. OtherIncome → Stripe, PayPal, freelance platforms
  7. Unknown → manual classification queue

Typical result: out of 80 transactions, 68 are auto-matched (85%).

Step 3 — Classify the rest (5 minutes)

You look at the 12 unmatched. For each:

  • 1 click to categorize
  • Option to split a transaction into 2-3 lines (client wire covering 2 invoices)
  • Option to create a learned rule ("this label = this category" for next months)

You bulk-classify similar ones (3 identical OVH debits = 1 classification × 3 lines).

Step 4 — The cascade — automatic, instant

For each matched transaction, 5 modules are updated in parallel:

Invoice → marked PAID

Invoice #2026-014 (€5,400) moves from PENDING to PAID. Its gainMonth = real cash-in month.

Treasury → real cash adjusted

Your balance for today is recomputed. The 12-month projection recalculates the gap with what was expected.

Health score → collection recomputed

If the invoice was paid on time, your collection score rises. If late, it drops.

VAT → treasury provision

For cash-basis VAT (standard French), the VAT collected on this invoice is now due at the next declaration. The provision is updated.

Statistics → cash-in revenue for the month

The stats dashboard reflects the new collection. If you track profitability per project via Financial Groups, the project sees its cash inflow updated.

All that, for ONE matched transaction. Over 80 lines, that's 400 module updates. Impossible to do by hand without error.

Step 5 — Final calibration (1 minute)

You compare the app's balance to your real bank balance. If gap > €50, you calibrate with a balanceOffset (see treasury calibration article). If gap < €50, you let it go — probably a posting-date timing.

You mark the month as "reconciled" → the app logs it for audit.

Step 6 — The end glance (1 minute)

You look at your dashboard:

  • Health score: 78 (was 75 a month ago) ✓
  • Runway: 5.2 months ✓
  • Overdue invoices: 1 (Globex 8 days late)
  • VAT next declaration: €3,200 provisioned
  • Social charges April: already provisioned at €7,800

Everything's under control. You see instantly if anything deserves your attention this week.

The 12-month effect

Month 1 → 90 min (you're discovering the app, few learned rules) Month 3 → 30 min (engine has learned your recurring patterns) Month 6 → 15 min (90% auto-match) Month 12+ → 10 min (mature month, you only intervene on exceptions)

Over the year, that's 15-20 hours saved on reconciliation alone.

The difference with an un-tooled workflow

Without Freelance Budget, the typical monthly ritual:

  • 30 min: import into Excel or a basic accounting tool
  • 1h30: manual transaction-by-transaction matching
  • 30 min: invoice vs payment verification
  • 30 min: VAT + charges check (often forgotten → bad surprise later)
  • Total: 3 hours every first Sunday of the month

And even then, the result isn't a 12-month treasury projection, it's a snapshot view.

The secret: everything in the same app

The workflow works because invoices, expenses, salaries, VAT and treasury are in the same system. The cascade is only possible with this integration.

That's what makes the difference with a pro bank + accounting tool + Excel — all good individually but they don't talk to each other.
